Terms of Service

Welcome to Kindred Journey Veterinary End-of-Life Care PLLC. By using our services or accessing our website, you agree to the following Terms of Service. Please read them carefully. If you do not agree to these terms, please do not use our services.

1. Scope of Services

Kindred Journey Veterinary End-of-Life Care PLLC provides in-home veterinary hospice, palliative care, and euthanasia services, as well as virtual consultations. Our services are tailored to ensure the comfort and dignity of pets and their families during end-of-life care. Service availability may vary based on location and scheduling.

 

2. Client Responsibilities

  • Accurate Information: Clients are responsible for providing accurate and complete information about their pet’s medical history, condition, and other relevant details.

  • Presence and Decision-Making: An owner with knowledge of the pet’s medical history must be present for the appointment, capable and ready to make both medical and financial decisions.

  • Pet Restraint: Since a veterinary assistant or technician will not be present, the pet owner must be able and willing to assist the veterinarian with the restraint of their pet during exams and procedures if needed.

  • Aggressive Dogs: Aggressive dogs must be able to be muzzled by their owners. If the dog is not amenable to restraint or muzzling, they may not be a good fit for our house call practice, due to safety concerns for our veterinarian who does house call appointments without an assistant present. Our veterinarian is available to discuss whether or not your aggressive pet is a good fit for our services, and has the final say on whether we are able to safely help a patient.

  • Cats: Cats must be placed in a carrier or confined to a bathroom prior to the appointment time to avoid running and hiding. This ensures that the pet is safely contained for the visit. If your cat is not contained and cannot be easily accessed at the time of our appointment, we may need to reschedule.

  • Safe Environment: Clients must ensure a safe and accessible environment for our team during home visits. 

  • Timely Communication: Clients must notify us promptly of any changes to their scheduled appointments, including cancellations or rescheduling needs.

3. Client Code of Conduct

At Kindred Journey Veterinary End-of-Life Care PLLC, we understand that saying goodbye to a beloved pet is one of the most difficult experiences a pet owner can face. Grief can bring out emotions that may lead us to act in ways we don’t expect, and we approach this time with deep compassion and empathy. We are committed to providing professional, respectful, and supportive care to both you and your pet. In turn, we ask for your cooperation in maintaining a positive and respectful relationship throughout our interactions.

To help ensure that we continue to provide the highest level of service and care, we ask that all clients adhere to the following principles:

  2. We will communicate with you clearly and compassionately, taking the time to answer your questions and address any concerns.

  3. We will strive to provide a safe, calm, and professional environment for both you and your pet during every appointment.

  4. We will respect your time, privacy, and personal circumstances, and do our best to accommodate your needs.
     

What We Ask in Return:

To maintain the integrity of our services and ensure the safety and wellbeing of everyone involved, we have a zero-tolerance policy for the following behaviors:

  1. Verbal abuse or disrespect: Malicious, harmful, or profane language directed at any member of our team will not be tolerated.

  2. Harassment of any kind: This includes cyberbullying, discriminatory actions or comments, intimidation, threats, or any form of behavior intended to cause distress will not be tolerated.

  3. Violation of privacy: Publicly disclosing any private or confidential information about our staff, clients, or patients is prohibited.

  4. Disruptive behavior: Any behavior that interferes with the normal operation of our practice or creates a hostile or unsafe environment for our team, clients, or pets.

 

Enforcement:

We take these standards seriously, and any violation of this Code of Conduct may result in corrective actions, including the immediate discontinuation of services. Kindred Journey Veterinary End-of-Life Care  PLLC reserves the right to refuse services or terminate services or client relationships in cases of inappropriate conduct, non-compliance with policies, or other justifiable circumstances.

 

We value our clients and aim to provide a positive experience for all, and these policies are in place to ensure that we can do so safely and professionally.

4. Payment Policies

  • Accepted Payment Methods: We accept cash, check, Zelle, and credit card payments. Please make checks payable to "Kindred Journey Vet"

  • Payment Timing: Payment is due at the time of service unless other arrangements have been made in advance. If you are experiencing financial hardship, please reach out to discuss your options.

  • Late Cancellation and No-Show Fees:

    • Cancellations made within 2 hours of the scheduled appointment time (or 4 hours for out-of-service-area appointments) will incur a $100 fee for in-service-area appointments (or a $200 fee for out-of-service-area appointments). This fee will be waived if a pet passes naturally during this window.

    • No-shows, defined as instances where we arrive at the appointment location and the client cancels or is not prepared to proceed as previously agreed upon, will be charged 50% of the appointment fee.

  • Non-Refundable Deposit: Reschedules made within 2 hours of the scheduled appointment time (or 4 hours for out-of-service-area appointments) will not incur a fee for the first three instances. However, if a client reschedules within this window more than three times, a $100 non-refundable deposit will be required to hold the appointment. This deposit will be applied to the final bill upon completion of the appointment, or retained in the event of another late reschedule or if the appointment is cancelled, even if the pet passes naturally.​

5. Service Limitations

  • Service Area: We serve Kanawha, Putnam, and Cabell counties, as well as parts of Lincoln, Boone, Mason, Jackson, Roane, Wayne, and Clay counties. Out-of-service-area appointments are at our discretion and subject to different policies.

  • Natural Death: If a pet passes naturally before a scheduled appointment, fees for late cancellations or no-shows may be waived on a case-by-case basis.

6. Limitations Regarding Virtual Services

Virtual consultations are intended to provide general guidance and support. A veterinary-client-patient relationship (VCPR) cannot be established through virtual services alone, and as such, we cannot diagnose, prescribe medication, or otherwise treat pets without an in-person examination and the establishment of a VCPR.

 

7. Limitations Regarding Information, Articles, and Advice

We may on our website offer articles, information, and advice to pet owners for educational purposes only. Any information offered through the website is not intended to diagnose, treat, or cure your pet and is not a substitute for veterinary care provided by a licensed veterinarian. For any medical or health-related advice concerning the care and treatment of your pet, contact your regular veterinarian or local animal hospital.

8. Liability

  • Medical Outcomes: While we provide compassionate and professional care, we cannot guarantee specific outcomes. Clients understand the inherent risks associated with medical procedures.

  • Force Majeure: Kindred Journey Veterinary End-of-Life Care PLLC is not liable for delays or cancellations caused by circumstances beyond our control, such as severe weather, emergencies, or other unforeseen events.

  • Limitation of Liability: Kindred Journey Veterinary End-of-Life Care PLLC is not liable for any emotional, indirect, incidental, or consequential damages arising from the use of our services or website, except in cases of direct service negligence or failure to deliver as specified in the agreement.

9. Indemnification

  • By using our services, clients agree to indemnify, defend, and hold harmless Kindred Journey Veterinary End-of-Life Care PLLC, its owners, employees, agents, and contractors from and against any and all claims, liabilities, damages, losses, or expenses (including legal fees) arising out of or in connection with:

    • a) Any failure by the client to provide accurate and complete information about their pet’s health or circumstances,

    • b) Any injury or damage caused by the pet to the client or others,

    • c) The client’s failure to comply with the Terms of Service or any applicable laws,

    • d) Any third-party claims related to the pet’s care or medical outcomes, including but not limited to issues arising from virtual consultations or non-appointment-related actions.

 

10. Privacy Policy

We respect your privacy and are committed to protecting your personal information. Any data you provide will be used solely for the purposes of delivering our services and will not be shared without your consent, except as required by law. 11. Website Use

  • Content Ownership:

    • All original content on our website, including text, logos, and custom graphics, is the property of Kindred Journey Veterinary End-of-Life Care PLLC and may not be reproduced, distributed, or used without prior written permission.

    • Stock images and other licensed materials displayed on the website are used with permission from their respective copyright holders. These images are not owned by Kindred Journey Veterinary End-of-Life Care PLLC and may not be downloaded, reproduced, or used without obtaining the necessary permissions from the copyright owner.
